This Privacy Policy explains what personal information we collect when you use the Library Near Me mobile app, web dashboard, and APIs, how we use it, and the choices you have. By creating an account or using the service you agree to this policy. If you do not agree, please stop using the service.
1. Who this policy covers
Library Near Me is a business tool used by two kinds of people:

If you are a student and want your records corrected or removed, contact your library first. We will act on the library's instructions, subject to the retention rules in Section 6.
2. Information we collect
2.1 Library staff accounts

2.2 Student and operational records entered by a library
Libraries use Library Near Me to record their day-to-day operations. This may include:
- Student profile — name, phone, email, gender, date of birth, address, photo, admission number
- Guardian and health details — guardian name and phone, blood group, medical notes the library records
- Identity and address proof documents — files uploaded by library staff, stored privately
- Academic details — school or college, course, exam preparation details
- Seat and slot allocation — assigned seat, shift, subscription start and end dates
- Fees and payments — package, amount, discount, payment mode, receipt records
- Attendance — QR scan check-in and check-out times
- Enquiries and visitors — walk-in contact details, follow-up notes
- Staff operations — expenses, salary records, and tasks created by the library
Libraries must only enter information they are entitled to collect, and must tell their students how that information will be used.
2.3 Notifications
We store the in-app notifications generated for a library (fee reminders, expiry alerts, announcements) together with their read status.
3. Mobile app permissions
The Library Near Me app asks for the following device permissions. You can review or revoke them at any time in Settings → Apps → Library Near Me → Permissions.

We do not read your contacts, we do not track your location, and we do not scan your photo library. Only the specific files you pick in the app are uploaded.
4. How we use information
We use personal information to:
- Authenticate you and keep your session secure, including two-factor authentication when enabled
- Create and operate your library workspace (seats, slots, packages, students, payments)
- Generate receipts, ID cards, attendance records, and reports for your library
- Send in-app notifications about fees, expiries, and announcements
- Provide customer support and investigate issues you report
- Detect, prevent, and investigate fraud, abuse, and security incidents
- Meet legal, tax, and accounting obligations
- Monitor reliability and improve the service
We do not sell personal information, and we do not use student records for advertising.
5. How we share information

Libraries are logically separated. Staff of one library cannot access another library's students, payments, or documents.
6. Data retention
We keep information for as long as it is needed to run the service and to meet legal obligations:
- Staff account data — until the account is deleted, then cleared or anonymized as described in Section 7
- Financial records (payments, receipts, expenses, salaries) — retained for the period required by tax and accounting law, even after an account is deleted
- Student records — retained while the library's workspace is active; a library may delete or archive them at any time
- Uploaded documents — deleted when the related record is deleted
Records that must be retained for legal or accounting reasons are kept in a form that is no longer linked to an identifiable profile wherever practical.
7. Account deletion
You can delete your Library Near Me staff account yourself:
- In the mobile app: open Profile → Delete account, type
DELETEto confirm, and enter your password. The app callsDELETE /api/v1/user/account. - On the web: go to Settings → Profile → Delete account and confirm with your password.

What happens immediately:
- All API tokens and browser sessions are revoked, and you are signed out everywhere
- Your name, email, phone, profile photo, and device information are cleared or replaced with anonymized values
- Two-factor secrets and recovery codes are removed
- Your account is deactivated and soft-deleted, so it can no longer be used to sign in
- If you were the last remaining owner of a library, that library workspace is deactivated so no one can continue operating it
What is retained: payment, receipt, expense, and salary records required for accounting, tax, audit, and dispute-resolution purposes, plus the library's own student records. These are no longer linked to your identifiable staff profile.
If you cannot sign in, email us at info@librarynear.me from your registered email address and we will verify ownership and process the deletion for you.
8. Your rights and choices
Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may:
- Access the personal information we hold about you
- Correct inaccurate details from your profile settings
- Delete your account as described in Section 7
- Withdraw consent for optional permissions by changing them in your device settings
- Object or complain to a data protection authority
We may need to verify your identity before acting on a request. If your request concerns records held by a library, we will refer you to that library as the controller of those records.
9. Children's data
Staff accounts are intended for people aged 18 or over. Libraries may record members who are minors; where they do, the library is responsible for obtaining any consent required by law from a parent or guardian.
10. Security
We use reasonable technical and organizational safeguards, including:
- HTTPS for all web and API traffic
- Hashed passwords and token-based API authentication
- Optional two-factor authentication for staff accounts
- Tenant scoping so each library can only read its own records
- Private file storage for uploaded documents, served only to authorized staff
- Rate limiting on sign-in and API endpoints
No system is completely secure. Keep your password and one-time codes confidential and tell us promptly if you suspect unauthorized access.
11. Data location
Our operations are intended for users in India. Data may be processed by infrastructure providers in other countries; where that happens we take steps consistent with applicable law to protect it.
12. Changes to this policy
We may update this policy. The "Last updated" date will change and material updates may be announced in the app or by email. Continuing to use the service after an update means you accept the revised policy.
